Minutes of Cole Park Allotment Association committee
Thurs 6 July 2008
Present Allan (plot 33); David (16), Debbie/Lynn/Tanya (102),
Julia (100/101), Judy (127/128), Pat Gallagher 103.
1. Minutes of last meeting: accepted.
2: Matters arising:
a) Rotavator: has been repaired, now usable, but users need
insurance.
b) Managing agency: CIP contract ended. New contractor Laing's,
sub-contractor Continental Landscapes. Judy has written to
Laing's as CPAA chair seeking early meeting. Action: Judy
c) Treasurer's report: Julia now computerising accounts.
Jim and Julia to meet to hand over paperwork and his receipts.

3: Rekeying: Judy gave an update. Last year CPAA had discussed
issue of lost/missing keys with CIP who agreed CPAA could
control new keys. A budget of £850 was identified but
no action taken. CIP lost the contract & a full CPAA
meeting in March agreed to defer action until new contractors
in place. At CPAA meeting on June 10, Jim noted that new
locks/keys had been bought despite this. Some plotholders
were unhappy at proposed rise in deposit from £5 to £10,
others at alteration in decision.
Julia noted CPAA constitution states that CPAA is not a self-management
organisation, and issues of this kind needs to be undertaken
by management contractor. Agreed no further action on new
keys would be taken before speaking to Laings, and not without
consulting members. Judy expressed hope that no committee
member should lobby for or against rekeying. Pat agreed to
remove poll on it from website. Action: Pat
4: Trading hut: no movement on project to join forces with
Isleworth Horticultural Society. Judy to continue working
towards this with the I.H.S.
5: Volunteer helpers: More volunteers needed to help Jim,
Allan, Robert with site maintenance, rugby parking etc. Lynn & Tanya
offered to help. Jim & Allan to list projects. Action:

6: Budgets: New budget needed. Julia to work on it with Jim/Allan
once computerised accounts complete. 2 further equipment
items, a tiller & Ryobi strimmer are required. Action:
Julia, Jim, Allan
7: Insurance: is needed for members to be able to use the
various machinery items. There are two major schemes, from
Allotments and Gardens Council UK, & National Society
of Allotments & Leisure Gardens. The committee agreed
to join AGCUK and their insurance scheme. Action: David
8: Website: Judy creating sub-group. Interested Tanya,
Lynn, Debbie, Crispin, Judy, Pat Action: Judy
9: Police: after CPAA pressure, are patrolling more often.
Recent incidents include theft of peas, figs, strawberries,
strimmer from plot 38. Police have undertaken to find
out about gap in fence on A316. Pressure to be maintained.
Incident book to be kept in container and used. Action:
